4 Steps to Successful HRMS Onboarding
Onboarding the perfect employee can be an exciting time for the new employee, the manager, and the team members. First impressions are everything! Are you realizing all of the benefits of your HRMS in your on-boarding activities? Make sure your new employee onboarding is flawless by following these four steps.
Get the Pre-Work Organized into an Efficient Flow
From the moment an offer is made and the candidate accepts, the clock is ticking. There are multiple streams of activities that must occur: pre-hire activities such as drug testing or employment checks, closing of the requisition, sending out benefits paperwork or online self-service access so that the employee can make benefit elections, sending logistical information, etc. It becomes easy to organize if HRMS onboarding is the cornerstone for holding this detail.
Monitor New Hire Data Entry
Remember when HR was paper based, and follow-up involved tracking where the paper trail got lost? Nowadays, the HRMS makes keeping the ducks in line easy. Set up workflow and analytics to easily highlight any anomalies during HRMS onboarding. Which new hire data was not entered in a timely manner? Who has not chosen benefit options? Maybe there was a mistake in an address somewhere, but now we can sort these sorts of issues easier, prior to a Day One start.
Set Up Day One Access
Day One ‘Welcome to the Company’ training can be administered using your HRMS Learning Management System. The HRMS can generate new employee lists as well as manager notifications to remind the supervisor to evaluate the new employee’s competencies. Assigning self-service tasks to the employee in the HRMS such as updating emergency contacts will enable you to take care of the logistics as easily as possible.
Formally Close the Onboarding Process
Often, the first weeks are a blur to a new employee, with trying to learn new things while meeting colleagues and performing in the new role. HRMS onboarding processes can help to track an employee’s probation period and notify managers to ensure that those short term goals have been met. As well, if your HRMS has survey functionality, it is a chance to take a pulse, to see how the employee is feeling and to course correct where needed.
With all the robust and flexible HRMS in the market these days, onboarding doesn’t need to be a chore. A well-designed HRMS will save time and effort, making life easier for all of the system users: HR, managers and newly onboarded employees.
